Compensation: $17.00 to $18.00 per hour

We are currently seeking an Administrative Assistant to provide high level front desk, administration, and customer service support. As an integral member of the administrative team, this position provides various support services our client?s busy Anaheim location; primarily focusing on clerical and administrative tasks. The administrative assistant must present themselves in a professional manner and have superior interpersonal skills, over the phone and in person. As the face and voice of our client?s company, the successful candidate must have demonstrated experience in a similar role, have a high degree of professionalism and corporate communication skills, be professionally presented, have superior organizational skills with the ability to focus on multiple tasks and changing priorities, and have a mature approach and confidence in dealing with a wide range of clients (both internal and external) and business partners. -Data Entry and document preparation skills are also of importance as this position performs a variety of document production duties for the professional staff. These include formatting, and generation of documents. -The responsibilities will require a sense of pride in your work, meticulous attention to detail, and a willingness to learn new concepts -Software skills proficient in Microsoft Office with an emphasis on Microsoft Word -Operates telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments. -Greets persons entering establishment, determines nature and purpose of visit, ensure visitors sign in at reception and advise them of proper safety procedures and direct or escort them to specific destinations. -Assist with fire drills/evacuation in case of emergency. -Maintains office areas and conference rooms, including scheduling meetings, and ensuring clean, orderly appearance of common spaces. -Directs incoming and outgoing deliveries in many formats. Collects, sorts, distributes, or prepares mail, messages, or courier deliveries. -Assist the team by filing, photocopying, collating, etc. -Be able to lift 15-20 pounds (office supplies, cases of paper). Adhere to company policies and procedures. -Monitor the use and stock of supplies and equipment and order supplies on a weekly basis. -Various other administrative tasks, as assigned by the Office Manager, to keep the office running smoothly. -Types letters, reports, forms or other material from a rough copy, corrected copy, email or voice recording while ensuring the quality and format meet the firms' standards. Minimum 2 years' experience as a receptionist and/or administrative assistant Knowledge of administrative and clerical procedures and systems such as managing files and records, and other office procedures and terminology. An intermediate to advanced proficiency in Word, Excel, and a basic understanding of Adobe. Excellent organizational and prioritizing skills. Positive work attitude and an eagerness to learn new skills and to advance career. Highly flexible and able to work efficiently in a high-volume, deadline-driven environment. Highly organized with exceptional time management skills Keen attention to detail. Requires administrative experience, reading, writing, grammar, math, and excellent clerical and communication skills. Requires skills in using computer applications for word processing, spreadsheets, databases, internet navigation, e-mail, and calendars. Intermediate to advanced proofreading and editing skills.
